Welcome to Asia Vespa Tours – Vietnam Private Tours Led By Women (“Asia Vespa Tours,” “we,” “our,” or “us”). By accessing asiavespatours.com, making a booking, or participating in one of our tours, you agree to these Terms & Conditions. Please read them carefully before making a reservation.

1. Booking Confirmation

Your booking is confirmed once:

  • We receive your booking request.
  • Payment or deposit (if required) has been received.
  • You receive a confirmation email or WhatsApp message from our team.

Please review your booking confirmation carefully and notify us immediately if any information is incorrect.

2. Tour Prices

All prices displayed on our website are quoted in the currency shown at the time of booking unless otherwise stated.

Tour prices include only the services listed in the “What’s Included” section of each tour.

We reserve the right to correct pricing errors or update prices without prior notice. Confirmed bookings will not be affected.

3. Payment

Payment may be made using the secure payment methods available on our website.

Unless otherwise agreed, full payment must be completed before the tour begins.

All payment transactions are processed through secure third-party payment providers.

4. Cancellation Policy

Our standard cancellation policy is:

  • More than 48 hours before the scheduled departure: Free cancellation with a full refund.
  • 48 hours or less before departure: 100% cancellation fee.
  • No-show: No refund.
  • Late arrival: If you are more than one hour late without informing us, your booking may be considered a no-show.

If Asia Vespa Tours cancels a tour due to severe weather, government restrictions, safety concerns, or other unforeseen circumstances, you may choose either:

  • A full refund, or
  • Rescheduling to another available date.

5. Changes to Bookings

If you need to modify your booking, please contact us as soon as possible.

Changes are subject to availability and cannot always be guaranteed, especially during peak travel seasons.

6. Hotel Pickup

Complimentary hotel pickup and drop-off are available for accommodations located within Hanoi Old Quarter unless otherwise stated.

If your hotel is outside the pickup area, we will arrange a convenient meeting point or discuss alternative pickup options before your tour.

7. Participant Responsibilities

For everyone’s safety and enjoyment, guests agree to:

  • Provide accurate booking information.
  • Arrive at the agreed pickup location on time.
  • Follow all instructions given by our guides and drivers.
  • Wear the provided safety helmet during the tour.
  • Respect local customs, laws, and fellow travelers.
  • Inform us before the tour of any medical conditions, dietary requirements, food allergies, pregnancy, or mobility concerns.

Guests whose behavior puts themselves, other participants, or our staff at risk may be removed from the tour without a refund.

8. Safety

Safety is our highest priority.

Our experienced, licensed drivers are trained to operate safely in Vietnam’s traffic conditions.

All participants must follow the safety instructions provided throughout the tour.

Failure to comply with safety requirements may result in the tour being terminated without compensation.

9. Weather Conditions

Our tours generally operate in all weather conditions.

If rain occurs, we provide complimentary rain ponchos.

If severe weather or unsafe conditions prevent the tour from operating safely, we may postpone, reschedule, or cancel the tour.

10. Travel Insurance

Basic tour insurance is included where specified in the tour description.

We strongly recommend that all international travelers purchase comprehensive travel insurance covering:

  • Medical expenses
  • Trip cancellation
  • Personal belongings
  • Flight disruptions

11. Personal Belongings

Guests are responsible for safeguarding their own belongings throughout the tour.

Asia Vespa Tours is not responsible for lost, stolen, or damaged personal property except where required by applicable law.

12. Health Requirements

Guests should ensure they are physically able to participate in the selected tour.

Please notify us before booking if you have:

  • Heart conditions
  • Serious medical conditions
  • Limited mobility
  • Pregnancy
  • Food allergies
  • Dietary restrictions

We will do our best to accommodate your needs whenever reasonably possible.

13. Photography & Media

Our guides may take photographs or videos during the tour for promotional purposes, including use on our website and social media channels.

If you prefer not to appear in photos or videos, please inform your guide before the tour begins.

14. Intellectual Property

All content published on asiavespatours.com, including text, images, graphics, videos, logos, and designs, is the property of Asia Vespa Tours unless otherwise stated.

No content may be copied, reproduced, distributed, or used without prior written permission.

15. Website Use

By using our website, you agree not to:

  • Use the website for unlawful purposes.
  • Attempt unauthorized access to our systems.
  • Introduce malicious software or viruses.
  • Copy or reproduce website content without permission.

16. Limitation of Liability

While we make every effort to provide safe, enjoyable, and well-organized tours, Asia Vespa Tours shall not be liable for delays, cancellations, injuries, losses, or damages resulting from circumstances beyond our reasonable control, including but not limited to:

  • Government regulations
  • Road closures
  • Traffic congestion
  • Civil disturbances
  • Actions of third parties

Nothing in these Terms excludes or limits liability where such exclusion is prohibited by applicable law.
